Sakai Non-Credit Course Checklist

For Online, Hybrid or Supplemental Sakai courses

If you are providing an online, hybrid or a course that uses Sakai to provide supplemental online course materials, the following tasks must be performed before students can participate in the course.

Required Instructor Sakai Training

  • Supervisors and instructors must register and successfully complete the required workshop: Intro to Sakai – Online!
    • For hybrid and online courses, we highly recommend supervisors and instructors register and complete the workshop: Intermediate Sakai – Online!
    • Note: Some supervisors require their hybrid and online instructors to complete the Intermediate Sakai training.

Required Non-credit Sakai Course Request

  • Just like any other course, the appropriate personnel must add the class section in Colleague, and Sakai-trained instructors must be assigned to the Colleague section
  • After the Colleague section has been created, the supervisor or appropriate personnel must complete this form to request the non-credit Sakai Course creation (Non-credit Sakai courses are not created by default, like Credit courses are):

Sakai Hybrid/Supplemental Student Logon Requirements

  • For face-to-face and hybrid classes, supervisors/instructors must provide each student with the following required information:
    • Seven digit Durham Tech student id (Found in Web Advisor or on a Durham Tech paper roster). Required for Sakai password setup.
    • Durham Tech/Sakai userid (Found in Sakai > Roster).
    • The Non-credit Student Sakai logon instructions

Required Online Sakai Registration/Communication Procedures

Online Student Registration

Online instructors don't meet with their students, therefore they can't easily share the required information online students need to logon to Sakai: student id, Durham Tech userid and Student Sakai logon instructions.

  • Students must be required to provide current email address(es) when they register for online classes
  • Program specialists must record student's current email address(es) in Colleague
  • Supervisors/program specialists must send to each online student the following information (could use the students' Colleague preferred email address):

Online Courses

For online non-credit courses, we recommend the following is completed, before the course start date:

Part 1:

  • If the courses are comprised of students whose Colleague records were created more than a year ago, it’s highly recommended that supervisors and program specialists work with the managers of the student course to perform the following before class starts:
    • Ensure the students’ Colleague records contain the current information: email address, mailing address and zip code.


Part 2:

  • We recommend that department supervisors and program specialists complete the Communications Management Basics workshop, a Colleague workshop offered by IT.
  • Using Communications Management, for a Colleague section, you can generate a separate email to each student, that lists the following, (if the information is in the student's Colleague record):
    • Colleague Student first and last names
    • Colleague Student preferred email address
    • Colleague Student Colleague student id
    • Text of the Non-credit Student Sakai logon instructions
      • The Sakai Student logon instructions contain required information: how to figure out Durham Tech/Sakai userids, set up/activate Durham Tech/Sakai passwords, and how to logon to Sakai

Missing/Incorrect Online Student Colleague email address

  • For online students who do not provide a preferred email address, or provide an invalid or outdated email address, the course supervisors/program assistants will need to contact students by phone, to get the correct email address, add it to Colleague, and resend the student's Colleague student id and Non-credit Student Sakai logon instructions.

How to Fix Sakai Student Issues

Sakai Student Logon / Password Reset Issues

  • Students must enter the following Colleague student information to activate/set up their Durham Tech/Sakai password:
    • Five digit zip code
    • Birth date
    • In some cases, the last four digits of their social security number
  • If any of a students' information listed above is incorrect in Colleague, when trying to activate/set up their Sakai password, they will receive an error message of "501S", "502Z", "503B", "505A"

What to do with Sakai Password Reset Errors: 501S, 502Z, 503B and 505A

IMPORTANT: Instructors/supervisors must work with their program specialists to update student records with their current data. Otherwise, your students will not be able to reset their Sakai password and logon to their Sakai class. When students are resetting their Sakai password AND receive an error message of "501S", "502Z", or "503B":

  • Contact the appropriate Program Specialist to correct student data required to reset a Sakai password:
    • Mailing address and five digit zip code
    • Birth date
    • In some cases, their social security number
  • If a student receives an error message of "505A", the student/instructor or supervisor should email sakaihelp@durhamtech.edu, with the following information to get the issue resolved:
    • student name
    • student id number
    • student email address

Updated Colleague Student email addresses need to be transferred to Sakai

  • In Colleague, in the E-Mail Address(es) field, beside the student's preferred email address, the Preferred field must be updated with an "Y", to ensure their Sakai email address is added.
  • If the Colleague email address is updated, contact sakaihelp@durhamtech.edu to transfer the updated student email address transferred from Colleague to Sakai. Email sakaihelp@durhamtech.edu the following information:
      • Student name and id number
      • Student's old and new Colleague preferred email address
