For Online, Hybrid or Supplemental Sakai courses
If you are providing an online, hybrid or a course that uses Sakai to provide supplemental online course materials, the following tasks must be performed before students can participate in the course.
Required Instructor Sakai Training
- Supervisors and instructors must register and successfully complete the required workshop: Intro to Sakai – Online!
- For hybrid and online courses, we highly recommend supervisors and instructors register and complete the workshop: Intermediate Sakai – Online!
- Note: Some supervisors require their hybrid and online instructors to complete the Intermediate Sakai training.
- You can find details about Sakai workshops at Sakai Training or http://bit.ly/sakaitraining
Required Non-credit Sakai Course Request
- Just like any other course, the appropriate personnel must add the class section in Colleague, and Sakai-trained instructors must be assigned to the Colleague section
- After the Colleague section has been created, the supervisor or appropriate personnel must complete this form to request the non-credit Sakai Course creation (Non-credit Sakai courses are not created by default, like Credit courses are):
- Sakai Course Site Request for Non-Credit Courses or http://bit.ly/non-credit-course-request
- A confirmation email will be sent to the requester. Within 1-2 days, the Sakai non-credit course will be created, and students automatically enrolled.
- If instructors have completed Sakai training, they will automatically be enrolled in the course site as well.
- Sakai Course Site Request for Non-Credit Courses or http://bit.ly/non-credit-course-request
Required Sakai Hybrid/Supplemental Logon Procedures
Sakai Hybrid/Supplemental Student Logon Requirements
- For face-to-face and hybrid classes, supervisors/instructors must provide each student with the following required information:
- Seven digit Durham Tech student id (Found in Web Advisor or on a Durham Tech paper roster). Required for Sakai password setup.
- Durham Tech/Sakai userid (Found in Sakai > Roster).
- Share the Non-credit Student Sakai logon instructions or http://bit.ly/non-credit-student-sakai-logon
Required Online Sakai Registration/Communication Procedures
Online Student Registration
Online instructors don't meet with their students, therefore they can't easily share the required information online students need to logon to Sakai: student id and Student Sakai logon instructions.
- Students must be required to provide current email address(es) when they register for online classes
- Program specialists must record student's current preferred email address in Colleague
- Supervisors/program specialists must send to each online student the following information:
- Seven digit Durham Tech student id (required for password setup)
- The Non-credit Student Sakai logon instructions or http://bit.ly/non-credit-student-sakai-logon
Large Online Courses: Student Registration
For online non-credit courses, we recommend the following to be completed, before the course start date:
Part 1:
- If the courses are comprised of students whose Colleague records were created more than a year ago, it’s highly recommended that supervisors and program specialists work with the managers of the students (if available) to perform the following before class starts:
- Ensure the students’ Colleague records contain their current information: email address, mailing address and zip code.
Part 2:
- We recommend that department supervisors and program specialists complete the Communications Management Basics workshop, a Colleague workshop offered by IT.
- If the course is not on the Employee Training workshop schedule (or https://training.durhamtech.edu/), please contact IT to request training.
- Using Communications Management, for a Colleague section, you can generate a separate email to each student, that lists the following (if the information is in the student's Colleague record):
- Colleague Student first and last names
- Colleague Student preferred email address
- Colleague Student Colleague student id
- Modified text of the Non-credit Student Sakai logon instructions
Online Students with Missing/Incorrect Colleague Email address
- Supervisors/program assistants must contact students by phone, to retrieve the student's current email address
- The student's current email address must be added to Colleague as the preferred email address
- The student must be re-emailed with student id and non-credit Student Sakai logon instructions
Updated Colleague Student Email Address Must be Transferred to Sakai
- Supervisors/program specialists must contact sakaihelp@durhamtech.edu to transfer the updated student’s preferred email address to Sakai.
- Email sakaihelp@durhamtech.edu the following information:
- Student name and id number
- Student's old and new preferred email address in Colleague
Sakai Password Setup Required
All students must set up/activate their Durham Tech/Sakai password. The student must provide the following information during Sakai password set-up or password reset, and the information must match their Colleague record:
- Seven digit Durham Tech student id
- Durham Tech/Sakai userid (Contains student last name, first initial of their first name and last four digits of their student id number)
- Five digit zip code, birth date, and in some cases, the last four digits of their social security number
- In addition, students must do the following:
- Students must pick a security question and answer
- Students must create a password (according to specific criteria)
How to Fix Sakai Password Setup/Reset Errors: 501S, 502Z, 503B and 505A
IMPORTANT: If a student doesn’t know their seven digit Durham Tech student id, or their Colleague information (zip code, birth date or last four digits of their social security number) is outdated/incorrect, they cannot setup or reset their password!
- If students are setting up/resetting their Sakai password AND receive an error message of "501S", "502Z", or "503B":
- Contact the appropriate Program Specialist or http://bit.ly/non-credit-sakai-data-contacts to correct student data required to setup/reset a Sakai password:
- Mailing address and five digit zip code
- Birth date
- In some cases, their social security number
- Contact the appropriate Program Specialist or http://bit.ly/non-credit-sakai-data-contacts to correct student data required to setup/reset a Sakai password:
- If students are setting up/resetting their Sakai password AND receives an error message of "505A", the student/instructor or supervisor should email sakaihelp@durhamtech.edu, with the following information to get the issue resolved:
- student name
- student id number
- student email address
